Consorci Sanitari DE L’ANOIA in Barcelona, ​​Spain recently deployed a smart cabinet called DYANE provided by Palex.RFIDSolutions for managing high-priced surgical supplies, ensuring real-time inventory and eliminating drug expiry. The system also provides traceability of drug use, reducing the error probability of manual records. Palex marketing manager Roca said that in the future Palex will deploy the system in seven other hospitals in Spain.

Although the hospital has not commented on the plan, Roca said it has started to help the hospital a lot. Roca said paper records are not foolproof due to the complexity of the recording steps. When surgical supplies are removed from the shelves, staff need to record the event and affix the label to the paper. Then, the staff also needs to copy these documents and send the copies to the order group to ensure the supply. Abnormalities in any link will lead to abnormalities during surgery.

Therefore, the hospital deployed Dyane smart cabinets in the operating room. Trays, disposable laparoscopic instruments, laparoscopes and other surgical supplies are stored in trays in the cabinet, and are protected by combination locks.

When medical items are received at the hospital’s central warehouse, staff need to scan barcodes and obtain product information (expiration time, description, and batch number) in the hospital’s database. Next, the software instructs Toshiba RFID printers to print passive ultra-high frequency (UHF) RFID tags that employees attach to the product.

When an employee places the tagged surgical supplies on the cabinet tray, a reader built into the cabinet automatically captures the product information and uploads the ID information to the Dyane software via a cable.

When an item is needed for surgery, the staff can place their RFID badge in the cabinet RFIDReaderbefore entering the password manually. At this point, the touch screen of the cabinet will display the list of surgical personnel for the day. Staff only need to select the corresponding patient and receive surgical supplies.

When the quantity of a specific item is less than the set quantity, the Dyane software will automatically place an order in the hospital management software. When the item is about to expire, the software and the cabinet touch screen will automatically display such data. At this time, these near-expired products will become priority items.

Roca said the Dyane software can also be used with hospital billing software, but it is not currently enabled at Consorci Sanitari DE L’ANOIA Hospital.

Roca said that with Dyane smart cabinets, hospitals can not only ensure that all items in stock are within their expiry dates, but hospitals can also reduce over-ordering costs and manual work on staff. This way, staff can spend more time on patient care.

Palex plans to install the smart cabinet in seven other hospitals in Spain. In this regard, Roca said that the company still does not have an exact timetable, and the company plans to expand this business in other European countries, Brazil and Mexico in the future.
