About HKUST
Since its establishment in October 1991, the Hong Kong University of Science and Technology has rapidly become an internationally renowned university with the momentum of breaking the bamboo, and has led the transformation of Hong Kong into a knowledge-based society. HKUST is determined to innovate in research and teaching, and all professors have Ph.D.s, standing out among local institutions. HKUST scholars are breaking new ground in the fields of science, engineering, business administration, humanities and social sciences, successfully pushing the boundaries of knowledge to new heights. State-of-the-art facilities on campus create the conditions for success. HKUST actively engages in social services, and promotes HKUST’s connection with the local community by organizing science camps, setting up online credit courses for secondary school students, and providing lifelong learning courses. HKUST has formed academic alliances with mainland universities and cooperated with the municipal government to pave the way for long-term national cooperation. At the international level, HKUST is a member of the Association of East Asian Research Universities and the Association of Universities in the Pacific Region. With the vigorous promotion of the European Institute of HKUST, it has established exchanges and cooperation with many top universities and research institutions around the world.
challenges faced
With thousands of graduates walking off campus each year, the demand for gowns exceeds what the manual lending and returning operations can handle. Graduation gowns and their accessories (such as robes, square caps, tassels, and drapes) are often lost or damaged. The rate of asset loss continues to rise, and the school cannot even find and replenish inventory in time, resulting in the later batch of graduates without graduation gowns Wearable dilemma. In addition, the remote supervision of graduation gown cleaning has not been able to find a more effective implementation. Therefore, schools urgently need a set of suitable information solutions to reform the management of graduation gowns.
The Xinghua graduation gown loan and return system has been applied to the Hong Kong University of Science and Technology since 2005. It realizes a systematic management model by tracking and tracing the whole process of graduation gowns and accessories from loan to return.
The solution adopts the G-BOX UHF fixed RFID reader with Xinghua’s independent intellectual property rights as the core of the whole system in hardware configuration. It is composed of RFID reader, terminal processor, middleware and single application software. In addition to the RFID tag reading and writing function, it can also monitor and control external sensors and signals. The advantages of G-BOX lie in reducing execution costs, reducing project deployment time, increasing reliability in harsh environments and improving the overall performance of RFID systems. The integrated design overcomes a large number of wiring defects between traditional RFID devices, and the price is only half of the traditional RFID system, so the emergence of G-BOX has greatly improved the popularity of RFID technology. In terms of RFID tags, high-temperature, extrusion-resistant, washable laundry tags are used, which can still be recycled 100 times in extreme environments. In addition, the addition of 3G routers makes the system connection faster and more stable, and realizes real-time status information update.
The whole system has a clear division of labor. Input the student number on the loan system, and then use the reader to read the label fixed on each piece of loaned clothes or accessories, and write the label number into the system. Specific information (such as color, size, etc.) corresponds to one-to-one. Since then, each object is refined to object defects and other materials are associated with the renter, and then the student’s rental record, including the detailed information of the object and the rental status, will be automatically ordered. One by one is stored in the system; and the return system also reads the tags fixed on each returned gown or accessory through the reader, eliminates the loan record, records the usage of the object, and helps the user to calculate the cost and extra service cost. and issue an invoice.
Lending system interface
return system interface
The workflow of the whole solution starts with the online application of students on campus; the school arranges graduation gowns and other items from the library according to the application; graduates return them to the return points of laundromats all over Hong Kong after graduation, and the staff at the return point use and return the items. The system collects and checks whether the items are in good condition, and charges rental fees or other additional fees; after the laundry has cleaned the items, the school will check the receipts on the return system that is updated synchronously with the return point, and refunds can be resolved if necessary.
Implementation Effect
The system has been in operation since 2005, and the solution has received rave reviews from the Hong Kong University of Science and Technology. On the one hand, students have gained convenience from it; from the school’s point of view, items such as graduation gowns have also been recycled, and the service supervision of third parties has become more real-time. efficient.
? Asset usage transparency
1) Through the full tracking of graduation gowns and other objects, visual and transparent asset management is realized.
2) System users can see the loan and return of graduation gowns at a glance, including the integrity or damage of the objects themselves, etc.
3) The school can monitor the status of third-party services through the same information platform
4) The management can understand the inventory situation at the first time, and make emergency decisions such as replenishment and adjustment in a timely manner
? Asset management efficiency
1) The combination of excellent reading and writing capabilities of UHF RFID reader and laundry tag greatly improves the reading and writing efficiency and accuracy
2) Whether it is HKUST or a third party, on the same system platform, the real-time transmission of information is created, which also greatly improves the operation efficiency and accuracy.
3) The system optimizes the entire operation process of graduation gown borrowing and returning, and its own automatic functions such as statistics and cost calculation greatly shorten the time-consuming
? Recycling of asset utilization
1) RFID laundry tags are heat-resistant and pressure-resistant, and can be recycled 100 times in extreme environments
2) The recycling rate of graduation gowns and accessories has been greatly increased, and the loss rate of assets has been reduced, and a large amount of extra expenses have also been saved.
3) The adoption of informatization solutions can reduce paper consumption, which is green and pollution-free
Future plan
Based on the above effects, the Hong Kong University of Science and Technology is planning to apply the loan and return system to more on-campus asset use management to meet the different needs of more teachers and students, while ensuring the school’s operational efficiency.
