1. Customer background:
SAIC Motor Group Co., Ltd. is one of the four major automobile groups in China, mainly engaged in the production, sales, development, investment, and related automobile service trade and financial business of passenger cars, commercial vehicles and auto parts.
The TV department is an important department of the SAIC Passenger Car R&D Center. Its main responsibility is to do new car trial production for new SAIC passenger cars, and to carry out work such as auto parts and performance tracking for competitors.
2. Challenges faced by customers:
my country’s automobile manufacturing industry has been inferior to the blowout period in recent years, and SAIC is one of the leaders. Since 2004, the scale of manufacturing and sales of SAIC passenger cars has continued to expand, and the TV department, which is responsible for the trial production of new cars and the research of auto parts and performance of partner companies, is facing more and more challenges:
Excel-based asset management faces complex application challenges. The previous asset and important parts management of the SAIC TV department was done manually by the administrator to make Excel spreadsheets and archive them. There are many problems: low input efficiency; inability to fully manage (two-dimensional data recording); and it is difficult to make associated modifications when assets change.
Paper forms and manual approval process. The TV department has relatively strict procedures and procedures for purchase application, order application, asset transfer, asset loss, asset retirement, etc., but they are all signed and approved on paper. It is difficult to retrieve or view after a long time. The process is not automatic. Conducive to sorting, statistics, and classification, and low efficiency.
Periodic verification of assets is time-consuming, laborious and data is inaccurate. The year-end inventory work is generally performed by administrators and employees in accordance with the declaration-record mode to record assets in Excel, which will lead to inaccurate inventory processes and consume a lot of manpower and material resources.
Only manage asset data without life cycle management. There are many equipment assets in the TV department that require regular repair/maintenance/calibration. Since the previous maintenance plan was manually operated, it became more difficult as equipment assets increased. At the same time, it is impossible to grasp the overall use of assets.
ISO20000 audit requirements. Since the TV department is subordinate to SAIC Passenger Cars, it needs to implement the ISO20000 standard. The standard focuses on the management of IT problems through “IT service standardization”, that is, to classify IT problems, identify the internal connection of the problem, and then plan, implement and monitor according to the service level agreement, and emphasize communication with customers. The standard also focuses on the capabilities of the system, the management level required when the system is changed, financial budget, software control and distribution. The current management system cannot meet this requirement.
Three, the solution:
Because the TV department is more cost-sensitive, it chooses barcode recognition as a means of marking assets, and uses the Prodog-EAM (hereinafter referred to as EAM) system to digitally manage assets. The material is scanned by bar code to register all information in EAM, and the administrator enters all material information (maintenance, depreciation, responsible person, photos, etc.) into EAM. When the equipment needs to be counted, the asset manager can scan the asset with a barcode gun to complete it. At the same time, the original procurement-approval process is digitalized in EAM. In summary, the EAM system has the following functions:
Comprehensive digital management of TV department assets;
The approval process is digitized. Use the EAM system to digitize the asset approval and purchase process without the need to transmit paper documents;
Barcode inventory of assets. It can quickly compare the inventory information with the EAM ledger and issue a difference report;
Digital management of maintenance and calibration information. Send the above information to the asset manager on time through EAM;
Report automation. Can automatically generate required asset reports;
Synchronize with SAP ERP (asset information).
Asset management has the following processes:
Four, application benefits
Accurate asset management. The TV department uses EAM to manage and record the detailed information of all assets, as well as contracts, orders, application forms, prices, residual values, users, owners, maintenance records, warranty types, warranty deadlines, running software, licenses, etc. Asset-related information.
The EAM system has a built-in workflow engine that can help the TV department complete the asset application, asset order, asset transfer/borrowing, asset retirement, asset loss process, ensure the correspondence between asset numbers and asset serial numbers, and ensure the integrity of equipment information.
Asset life cycle state management. EAM manages the life cycle status of assets. Asset managers can easily query and count various asset information to provide accurate support for decision-making. At the same time, changes in asset life cycle status will automatically trigger various background processes to ensure accurate and timely update of asset data.
Borrowing management. The borrowing of assets is a set of digital management procedures to make the management process more standardized and traceable.
Report automation. According to the needs of the TV department, reports are generated for all registered assets according to time period and other conditions.
