1. RFID technology background

RFID technology is a comprehensive self-identification technology based on carrier, coding, identification, communication and other technologies. RFID technology mainly uses the spatial coupling of radio frequency signals to achieve contactless information transmission. Different items can transmit different information to achieve automatic identification technology. Compared with other similar technologies, RFID technology has the characteristics of large storage capacity, fast reading rate, long reading and writing distance, strong penetrating power, long service life, and good environmental adaptability. The RFID system should have three basic components, an RFID tag, a number of RFID readers and a background computer.

The RFID tag is attached to the object to send out radio frequency signals. The RFID reader realizes the collection of tag information and the transmission of data back. The read information is transmitted to the background computer. The background computer analyzes the transmitted information and manages the normal operation of the entire tag system. The application of RFID technology to the medical record tracking system is mainly to attach electronic tags to each medical record, install readers in the use positions of clinical departments and medical record rooms, and connect the back-end computer to the port of the medical record tracking system. Managers can accurately query the medical record process and location through the tracer system, and confirm the filing time.

2. Application of tracer in the whole medical record process based on RFID technology

2.1 Medical record recall

After the department’s first-level quality control of each medical record discharged from the department, the general nurse affixed an RFID electronic tag and sent it to the medical record room from the property. The medical records are sent to the medical record recovery room equipped with RFID readers. The medical record administrator registers the recovered medical records and compares them with the patient information that was discharged from the hospital to get a list of unfiled medical records and the location of the department. After the recovery is completed, the administrator can uniformly mark the medical record information in the medical record tracking system as an archived state.

2.2 Disease code

After the medical records are retrieved, the coding team staff will carry out the disease coding work. Install RFID readers in the coding group office or next to the office computer. When the coder archives medical records within the scope of the work place, the RFID reader can not only track the medical records that have entered the disease cataloging link, but also track the specific location. Coders use ID identification to determine whether the medical records to be catalogued have been archived to the medical record room on the day, so as to effectively supervise the department and file the medical records in time. After the coders have completed the cataloging, they can uniformly mark the status of the medical record as the coded state with one key.

2.3 Quality control of medical records

The coder transfers the coded medical records to the quality control staff. The medical records pass through the quality control office equipped with a reader. The quality control staff can first check whether the transferred medical records match the number of medical records discharged on that day. If they do not match, check the medical records through the tracer system. The location and working status, and then quality control of the medical record, and identification of the medical record status information.

2.4 Medical record feedback

After the medical records are sorted and bound, some medical records need to be placed in the feedback cabinet of the medical record reading room due to missing signatures and missing items. The medical record administrator can form a circulation record of the feedback medical records through the RFID reader installed in the reading room. Since the medical records need to be rectified by the clinical medical staff, they are easy to be taken to the reading room or even outside the medical record room. The medical record management staff can feedback when the medical record was taken out of the reading room through the background data monitoring to find the whereabouts of the medical record.

2.5 Circulation of medical records

Medical staff in clinical departments and other medical technical departments borrow and return medical records. Through the unified identification of RFID on medical records, enter the borrowing department, borrowers, and related borrowing reasons, and the system automatically generates medical record borrowing and return records.
