With the development of enterprises and institutions, the number of various information archives has increased day by day, the types of archives have become increasingly diversified, and the storage of paper information has rapidly expanded; and the problems caused by traditional archive management methods and technical means have become increasingly obvious. As a result, the information management of my country’s archives industry can no longer meet actual needs.

· Manual management of files, cumbersome and inefficient work processes, and lengthy time to organize.

· The order of file storage is easily disrupted. Due to the randomness of manual operation and some inevitable errors, the order of file storage is inevitably disrupted, resulting in disorderly file storage and difficulty in searching.

· File verification and review takes a long time. With the ever-increasing number of file sizes and types, it is necessary to filter all files when searching, checking and cleaning up a certain file.

· The degree of file information is low. Traditional management cannot realize the informatization of archives management; manual recording is difficult to make timely and accurate statistics of archive utilization.

· Low efficiency of file inventory. Due to the large number of files, the workload of inventorying all files is unimaginable, and it will be a very huge project.

In view of the various status quo of current archives management, the technical upgrade and transformation of archives management is imminent.

The intelligent file management system based on UHF RFID technology will completely change this status quo. Through the use of advanced UHF RFID automatic identification technology and computer software technology, UHF RFID electronic tags are used as information storage media and pasted on the file bag, and the basic information and application of the file are stored in the UHF RFID chip. Returning records, using UHF RFID readers, in conjunction with the back-end database management system, can realize the information management of the work process of borrowing, returning, searching, and inventorying of files.

The intelligent file management system is built with RFID equipment as the core, and the UHF RFID smart file rack is the most critical.

As the core equipment of the RFID intelligent file management system, the intelligent file rack realizes real-time monitoring of the files on the file rack. It has the functions of layering, splitting, and sectioning reading and positioning, which is convenient for real-time file monitoring and checking inventory. The smart file rack has a built-in UHF RFID reader for tag identification of files on the rack.

Quanshunhong M6 four-channel reader equipped with antenna splitter can realize the real-time operation of 32-channel antenna controlled by a single device, and realize the real-time management of each item-level file to the greatest extent.

The filing cabinet adopts a split design, the UHF RFID antenna is fixed in the filing cabinet, and only the UHF RFID reader is connected through the radio frequency line, and the plug-in method is used to connect, which is a safe and reliable connection. , And the installation is convenient and quick, and the file cabinet can be easily removed or installed from the file rack.

System core functions:

· Integrated UHF RFID reader: to achieve real-time inventory and scanning of archives on the shelf, to achieve online monitoring and positioning of all archives on the shelf.

· Infrared security detection device for access control: When file management personnel enter the dense rack to extract file data, this system can automatically detect the entry and exit of the management personnel to protect the safety of the file management personnel.

· File information is stored in an orderly management system, using UHF RFID technology to access and retrieve files, can automatically query the location of the file and open the corresponding shelf. After the file data is entered, the label information will be automatically generated. During the shelf process, multiple documents can be placed at the same time, scanned by the UHF RFID reader on the shelf, and the new storage location of the data can be transmitted to the server database without manual operation to change the storage location.
